Who we are

Cargopulse is a product of CTS — Cargo Tech Solutions, Unipessoal, Lda. ("we", "us"), which provides operations software for freight forwarders. This policy explains how we handle personal data for our website and product. For data we process on behalf of customers, our Data Processing Agreement governs.

Data we collect

We collect data you give us and data generated as you use Cargopulse:

  • Account data — name, work email, company, role.
  • Usage data — pages visited, features used, device and browser.
  • Shipment data — processed on behalf of customers under the DPA.
  • Support data — messages you send to our team.

How we use it

To provide and improve the service, secure accounts, communicate with you, meet legal obligations, and — with consent — send product updates. We do not sell personal data.

We rely on contract performance (to deliver the service), legitimate interests (to secure and improve it), legal obligation (to comply with law), and consent (for marketing email, which you can withdraw at any time).

Sharing

We share data only with vetted sub-processors that help us run the service (hosting, email delivery, AI inference), all bound by data-protection terms. The current list is in our Data Processing Agreement. Our application infrastructure is hosted in the EU (OVHcloud, France). This website sets no cookies and runs no analytics or tracking scripts.

Cargopulse for Outlook

Cargopulse for Outlook is an add-in that shows, next to the email you have open, the matching customer, jobs and quotes from your company's Cargopulse workspace. It only works for people who already have a Cargopulse account; it never creates one.

  • Sign-in: you sign in with your Microsoft work account. We receive your name, email address and the Microsoft identifiers of your account and organization, and use them only to find your existing Cargopulse account.
  • Email data: when you open the add-in, it reads the sender, recipients, subject, date and message ID of the email you are viewing, and sends them to your company's Cargopulse workspace to look up the related records. It does not read other emails in your mailbox.
  • Email content: only when you press a button that needs it, the add-in also sends the text of that email, one of its attachments or the whole email file to your company's Cargopulse workspace. This happens when you ask for a reply draft, read quote amounts into job lines, mark a quote (to detect its language), or save the email or its attachments to a job. Drafts and amounts are produced by the AI service listed as a sub-processor (Google Cloud, Vertex AI), which does not use the content for training.
  • Writing to the email: while you write an email, the add-in can add a hidden Cargopulse marker to it when you mark it as a quote, so the quote can be recognised once it is sent. It changes nothing else in your messages.
  • What is stored: only what you choose to do in the add-in, for example linking an email to a job, marking it as a quote request, filing an attachment or creating estimate lines on a job, together with an audit record of who did it and when.
  • Replies: the add-in can open a pre-filled reply for you to review. It never sends email on its own.
  • Categories: if your administrator turns them on, the add-in can set an Outlook category on an email to show its status. This is off by default.

This data is processed on behalf of your employer under the Data Processing Agreement, hosted in the EU, not used for advertising and not shared with third parties beyond the sub-processors listed there. More about the add-in: cargopulse.app/outlook.

Retention

We keep personal data only as long as needed for the purposes above or as required by law. Customer shipment data is retained per the customer's contract and deleted on request.

Your rights

Under the GDPR you may access, correct, delete, restrict or port your personal data, and object to certain processing. To exercise these rights, write to us. You may also complain to your supervisory authority.
